Analyse leases – every rent with its source

Whether you are buying, selling or taking over the management of a property: leases, amendments, rent rolls and service charge statements arrive as PDFs or scans, and every figure has to be right. Excalitract captures parties, areas, rents, indexation and deadlines according to your schema – and shows where each value appears in the document.

Leases, amendments, rent rolls, service charge statements and land register extracts – digital or scanned.

Rent roll versus lease

The rent roll states one rent, the third amendment another. With both values and their sources in front of you, you resolve the difference against the original – instead of guessing in a spreadsheet.

Many leases, little time

An acquisition or takeover brings hundreds of leases at once. Excalitract processes them via folder or ZIP upload in runs of up to 200 documents and detects duplicates.

Missing clauses stay open

If an older lease has no identifiable indexation clause, the field stays empty and goes to review – instead of quietly ending up in the export as zero or as “no indexation”.

Explained briefly

From lease to rent roll

Your leases become a sourced rent roll

A lease often covers several units – retail, office, parking – each with its own area and rent. Excalitract maps them as a list in the schema and delivers area, rent and source for every unit. Your lease portfolio becomes a sourced rent roll that your team compares with the seller’s list or your property management system.

  • Units as a list Several units per lease, each with its own area, rent and source.
  • One schema per document type Lease, amendment, rent roll or land register extract – each document type with its own schema.
  • Deadlines as dates Lease start, expiry and options are validated against the schema before they are approved.
  • One sheet per level In the Excel® export, leases and units sit on separate sheets, linked by IDs.

Every rent with its source

Whether the rent sits in the main lease or a new rent in an amendment: every value stays linked to its place in the document. Your team checks against the original, not a transcript.

No clause, no invented value

If an indexation clause or an area is missing, the field stays open and goes to review. As a required field, it blocks approval until someone has resolved it.

“Not found” never becomes zeroA field that is not in the document is not filled with 0. The zero is crossed out, the field visibly stays open and is marked “Required value missing”.
